Contractors and service businesses have a different payment problem from restaurants and stores. The ticket is large, the customer is not standing at a counter, and the money often shows up as a check three weeks later, or as a card payment on an emailed invoice at 2.99% or more. Here is the setup that fixes both.
The two costs
Slow payment. A $6,000 HVAC install paid by check averages two to four weeks from invoice to deposit. Text-to-pay with a bank-transfer option gets most of those paid in days, because the customer pays from the text on their phone the evening they get it.
Card fees on invoices. Invoiced card payments are card-not-present and carry the highest rates. QuickBooks Payments charges 2.99% (April 2026), 3.5% if keyed. On $40,000 a month that is $1,000 to $1,400 a month. Interchange-plus pricing on the same volume typically lands at $700 to $850. A dual-priced invoice, where the customer chooses between a bank-transfer price and a card price, takes the business’s cost to $0. The full QuickBooks fee breakdown is in QuickBooks credit card processing fees.
What we set up
| Piece | What it does |
|---|---|
| Hyfin invoicing | Send invoices by text and email with a pay link. Card, ACH and eCheck. Recurring billing for maintenance plans. Deposits and progress payments. |
| QuickBooks sync | Two-way with QuickBooks Online and Desktop. Invoice goes out from your QuickBooks data; payment posts back to the invoice; deposit matches for reconciliation. |
| Dual-priced invoices | Bank-transfer amount and card amount shown side by side. Customer picks. Business nets the bank-transfer amount either way. |
| Field terminal | Clover Flex or Dejavoo wireless for on-site tap, dip and swipe with dual pricing. Optional. |
| Virtual terminal | Take a card over the phone from the office when needed. |
| Customer vault | Stored payment methods for repeat customers and recurring plans, tokenized. |
Nothing changes in QuickBooks. Same file, same customers, same invoice template and numbering.
